Sheet M-06 · Market
Reputation Management
Before a patient in Hyderabad calls your hospital, they have already read your Google reviews, checked your Practo rating, and formed a judgment your website never got to influence. Your public rating is a filter applied before every other marketing effort — ads, SEO, referrals all route through it. We build reputation as a system: a repeatable engine for generating genuine reviews at scale, a response protocol that handles criticism professionally and legally, and a recovery process for ratings damaged by neglect. One thing stated plainly before anything else: we do not write, buy, or incentivize fake reviews — ever. If that is the service you are shopping for, we are the wrong vendor.

1.1 · The Problem
Your Rating Is Deciding for Your Patients Before You Can
Ratings are not a vanity metric — they are a pre-purchase filter. For hospitals and local businesses, a weak or neglected review presence silently removes you from consideration at the exact moment demand exists, and no amount of ad spend compensates for it.
- 01A 3-point-something rating on Google or Practo that quietly filters you out of consideration — patients comparing three clinics in Jubilee Hills rarely call the lowest-rated one, whatever its actual clinical quality
- 02Negative reviews sitting unanswered for months, telling every prospective patient that criticism goes unheard — while a defensive or angry reply from an untrained staff member does even more damage
- 03No system for asking satisfied patients to review, so your public record is written disproportionately by the unhappy minority who are self-motivated to post
- 04Reputation scattered across Google, Practo, JustDial, and social platforms with no single owner, no monitoring, and no protocol — problems are discovered when a patient mentions them, not when they appear
- 05Pressure to buy fake reviews from vendors who cold-call promising overnight ratings — a shortcut that risks profile suspension, consumer-protection liability, and a trust collapse if exposed
1.2 · Our Framework
Reputation Systems Framework
A rating is arithmetic: volume, velocity, and average of genuine reviews. It moves when the asking system, the response protocol, and the underlying service issues are engineered together — not when someone buys fifty five-star reviews that get the profile flagged.
Reputation Audit & Sentiment Baseline
Full inventory of your presence across Google, Practo, JustDial, and social platforms: current ratings, review volume and velocity versus competitors, sentiment themes in the actual review text, and unclaimed or duplicate profiles. The recurring complaints in your negative reviews are mapped, because they are operational data, not just PR problems.
Review Generation System
A policy-compliant engine for converting satisfied customers into reviewers: the ask built into the journey at the moment of highest satisfaction — discharge, delivery, follow-up — delivered via QR, WhatsApp, or SMS with a one-tap path to the review form. Every customer gets asked, not a filtered subset: selective solicitation (review gating) violates Google policy, and we do not do it.
Response Management Protocol
Documented response standards for every review type, with defined ownership, escalation paths, and turnaround targets. For healthcare, responses are engineered to be safe: never confirming that the reviewer is a patient, never discussing treatment details, never violating confidentiality — professional, specific enough to show the review was read, and legally clean.
Rating Recovery & Feedback Loop
For damaged ratings: policy-violating reviews (spam, competitors, off-topic) are documented and formally flagged for removal, legitimate criticism gets a professional public response, and the recurring operational issues surfaced in reviews are routed back to management with data. Recovery then comes from sustained genuine review velocity — the only mechanism that actually moves the average.
Schema & Visibility Engineering
Review and aggregate-rating structured data implemented on your site where platform policy permits, so earned ratings surface in search results, and profile-level optimization so your improving rating is visible at every point a prospective customer encounters you — Google, Practo, JustDial, and your own pages.

2.1 · Our Process
From Neglected Ratings to a Managed Reputation System
| Stage | Phase | Detail |
|---|---|---|
| 01 | Audit & Baseline | Every profile inventoried, every rating benchmarked against your direct competitors, review text analyzed for recurring themes. You get a factual picture of where your reputation stands and the specific arithmetic of what recovery requires. |
| 02 | Platform Ownership & Cleanup | Unclaimed profiles claimed, duplicates merged, outdated information corrected across Google, Practo, and JustDial. Reviews that violate platform policy — spam, fake negatives, off-topic rants — are documented and formally flagged through the proper removal channels. |
| 03 | Generation System Deployment | The review-ask workflow goes live: touchpoints identified in your patient or customer journey, QR and message assets produced, WhatsApp and SMS sequences configured, and front-line staff trained on how and when to ask. |
| 04 | Response Protocol Activation | Response standards documented and handed to a named owner — us or your team — with turnaround targets and healthcare-safe language guidelines. The backlog of unanswered historical reviews is cleared first, because prospects read old reviews too. |
| 05 | Recovery Sprints & Operational Feedback | For locations or platforms with damaged ratings, focused sprints combine flagging, response cleanup, and intensified genuine review generation. The operational issues your reviews keep surfacing are reported to management monthly — fixing the cause is part of fixing the rating. |
| 06 | Monitoring & Monthly Reporting | Continuous monitoring across all platforms with alerts for new reviews and rating movement. Monthly reporting covers volume, velocity, average trajectory per platform, response turnaround performance, and competitor comparison — the full arithmetic of your reputation, visible. |

4.1 · Expected Outcomes
Measurable Results, Not Promises
Real metrics from real client engagements, demonstrating the impact of our engineering approach.
Review Velocity Matched to Customer Volume
The generation system is engineered so review flow scales with your actual patient or customer volume — the ask is built into the journey itself, removing dependence on staff memory or customer initiative.
Every Review Answered, on a Defined SLA
A documented response protocol with a named owner and turnaround targets means no review — positive or negative — sits unanswered, and every response meets professional and confidentiality standards.
A Rating Trajectory You Can Verify
Monthly reporting shows volume, velocity, and average per platform against your competitor set. Progress is arithmetic you can check on the platforms yourself, not an agency-asserted score.
Zero Policy or Legal Exposure
No fake reviews, no incentivized reviews, no gating — every practice in the system complies with Google and Practo policy and consumer-protection norms, so the reputation you build cannot be taken away by an enforcement action.
5.1 · FAQ
Reputation Management Questions
Answers to the questions we hear most from prospective clients.
Can you remove negative reviews?
Only the ones that violate platform policy — spam, reviews from people who were never customers, competitor attacks, off-topic or abusive content. Those we document and flag through Google's and Practo's formal processes, and legitimate policy violations do get removed. Genuine negative reviews from real customers cannot be removed, and any vendor claiming otherwise is either lying or planning something that risks your profile. The honest playbook is: respond professionally, fix the underlying issue, and build enough genuine positive velocity that the negative becomes statistically insignificant.
Will you post positive reviews for us? Other vendors offer this.
No, and this is a hard line. Fake reviews violate Google and Practo policy, can trigger profile suspension that erases your entire legitimate review history, and fall foul of consumer-protection norms on misleading endorsements. For a hospital, the downside is worse: a fake-review scandal is a clinical-trust scandal. The vendors cold-calling you with overnight rating promises are selling you that risk. Our position is simple — if your service genuinely satisfies people, the asking system we build will surface it; if it does not, no review scheme fixes that.
How do you respond to patient reviews without violating confidentiality?
With a protocol, not improvisation. Responses never confirm that the reviewer was a patient, never reference diagnoses, treatments, dates, or any clinical detail — even when the reviewer disclosed it themselves. The response acknowledges the feedback, states the standard of care the organization holds itself to, and moves the specifics to a private channel with a named contact. Every response template is reviewed with your administration before use, and staff who handle responses are trained on what can never appear in a public reply.
Our rating is 3.5. How long does recovery take?
It is arithmetic, and we will show you the exact math in the audit. A profile with 80 reviews averaging 3.5 needs a sustained flow of genuine positive reviews before the visible average moves — each new review shifts the average less as volume grows, which is why recovery is a velocity problem, not a one-time campaign. With the asking system running against real patient volume, movement is typically visible within the first quarter and compounds from there. What we will never do is fake the shortcut; what we can do is make the recovery rate predictable and reported monthly.
